Overview
With the job title of Personal Assistant to CEO’, you serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO as well as a liaison to the Board of Directors and senior management teams. You should have exceptional communication skills, a commitment to a high level of attention to detail, the ability to work independently and recognize the need to prioritize or reprioritize as appropriate.
Responsibilities
- Work closely with the CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately
- Provide sophisticated calendar management for CEO: Prioritize inquiries and requests while troubleshooting conflicts, make judgements and recommendations to ensure smooth day-to-day engagements; scheduling appointments, meetings, engagements, and daily activities
- Assist the CEO in the timely management of communications - including written, telephone and email
- Compose and edit letters, documents, emails, proposals and ensure follow up with those that require answers, responses and written replies
- Spend time and become familiar with all aspects of the business and residence
- Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO: prioritize and determine appropriate course of action, referral, or response, exercising judgment to reflect CEO’s style and organization policy
- Complete a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization: designing and producing complex documents, reports and presentations; collecting and preparing information for meetings with staff and outside parties, maintaining contact list, making travel arrangements and completing expense and mileage reports
- Coordinate all Executive Team meetings and retreats and assist with staff meetings and events as needed
- Perform variety of office and personal errands
- Invest in building long-lasting relationships both externally and internally always
- Provide event management support as requested
- Other administrative, support and miscellaneous tasks as assigned
- Admin tasks involving but not limited to: ordering office supplies, manage stock for private residences, all personal errands, manage gifts for partners, friends and family, etc.
- Keeping the office tidy and ready for meetings, visits, and more
- Prepare documents, drinks and accommodations, reading materials for each morning’s arrival
- Serve as a personal chauffeur when needed
